IRP JULY 2008 - JUNE 2009 RENEWALS

June 2009 IRP license/tag fees are due at ADOT by June 30th.  We would like all payments in our office no later than June 16th to give us time to process the necessary paperwork and get it to the state on time.  Payments paid to ADOT after June 30th are subject to an $8.00 penalty per unit per month.  It is very important that your renewal request be processed and submitted to ADOT as soon as possible as ADOT WILL NOT EXTEND A GRACE PERIOD.  All apportioned plates that expire on June 30, 2008 WILL expire on that day.

SPECIAL NOTE

ADOT will not process late walk-in renewals until after the June 30th expiration date.  Any June renewal requests received in our office after Friday, June 6th will most likely not be processed until after your expiration date and there will be an additional service fee to expedite your registration.  If your apportioned plates expire in June and you have not yet sent us your purple renewal sheet, please send it to us as soon as possible to avoid future complications.  If you need one, please contact Myriam or Elaine in our office, or print one from the forms page of our website.

Payments made to TCS in the final week of expiration have limited processing times and may result in your credentials being issued AFTER the expiration date.  As we get closer to the expiration date, processing time increases significantly.

Please submit proof of insurance to TCS with a current certificate of insurance for your vehicle(s) registration.  MVD requires TCS to retain the certificate for file purposes.  Also, proof of payment of the Heavy Vehicle Use Tax (HVUT or 2290 tax) is required in order for TCS to issue any registration credentials on vehicles over 55,000 GVW.

NOTE:

If you submit your renewal sheet to TCS for processing and then choose not to renew, TCS’s service fees will be assessed for processing the renewal and reversing ADOT’s invoice.

SPECIAL NOTE ON REGISTRATIONS

Additional fees may be due to obtain ADOT’s authorization to release credentials.

CHECK ACCEPTANCE POLICY

As per TCS Policy, any payment over $1,000.00 must be in the form of a cashiers check, certified funds, or wire transfer.  As banks do not make funds available immediately, we cannot order or issue any credentials on any payment over $1,000.00 made by a company check for 10 working days after receipt.  We regret this inconvenience but we cannot proceed with the work until the funds are available.  An alternative to the ten-day hold would be to remit by cashiers check or wire transfer.  If you have any questions, please call our office.

2290 TAX

Reminder:  If you have bought a NEW truck over 55,000 GVW, you must file and pay your 2290 tax by the end of the month following the date of the purchase.  EXAMPLE:  You purchased a new truck over 55,000 GVW on May 15.  The 2290 tax is due before June 30.

If you have made the annual payment in full and have wrecked/salvaged your truck, you may be eligible for a credit or refund for the 2290 taxes paid.  For a service fee of $30.00, TCS can process the necessary paperwork for you to receive this refund.  If you are interested in the service, please contact Antonella at extension 205.

2nd QUARTER FUEL TAXES

Please Please Please try to turn your trip sheets in monthly (by the 5th of the following month if possible).  We still have many customers who have not yet turned in April trip sheets.  Reminder:  TCS charges a late fee for trip sheets not turned into us in a timely manner

If you consider it a nuisance to write out a check each month for your fuel tax service, why not consider quarterly billing or automatic credit card payments?  On quarterly billing, you would be billed at the beginning of each quarter (rather than the beginning of each month).  On automatic credit card payments, we would charge your card on the 10th of each month for that month’s service fee.  Because you are a fuel tax service customer, you will still get a statement and newsletter each month even if you have no balance due.  If you would like to change to quarterly billing or automatic credit card payments, please contact Mary Jo in our billing department and she will set you up on either option.

ADOT NOTICE

Every Arizona licensed IFTA carrier must prepare and submit a quarterly Arizona IFTA Tax Report.  The quarterly reports must reflect miles and gallons for all IFTA jurisdictions traveled.  It is the taxpayer’s responsibility to comply with the IFTA Agreements and make sure all reports are filed.

Any reports not filed or paid late during the year could result in ADOT requiring you to post a bond in order for you to receive additional IFTA stickers or your next IFTA license or even to register another truck.  The total amount of the bond shall be at least twice the estimated average tax liability for the reporting period but not less than $3,000.00.

If you have a bond with ADOT and you are late paying your IFTA taxes, you will have to attend a hearing to justify why you should be able to keep your IFTA.  If you do not attend the hearing, ADOT will revoke your IFTA license for 6 months.

ADOT MAILING OF BLANK IFTA FORMS

If TCS does your quarterly fuel tax reporting and you receive the blank form and quarterly rates from ADOT, you can discard them.

ADOT is now sending out reminders that you have quarterly IFTA reports due and they are using the physical address on file rather than the mailing address (TCS).  ADOT has informed us that they will continue to mail these forms and rate sheets to your physical address each quarter.  As long as TCS is preparing your quarterly fuel tax reports for you, you can discard these notices.
